Community Engagement Coordinator
GENERAL SUMMARY:
Support all activities of the Communications & Community Engagement department with a focus on maintaining the reputation of Crayola as a good corporate citizen through outstanding customer services practices. Work within the Crayola philanthropy portal/database for administration of the grants and product donations program. Coordinate product donations through direct correspondence both locally and nationally through approved channels. Facilitate correspondence and arrangements for corporate contributions. Monitor departmental budgets and records of cash and in-kind product donations, including receipt of donated product from OSMI and other internal referrals.
PRINCIPAL DUTIES & RESPONSIBILITIES:
- Support the overall activities of the department including, but not limited to meeting scheduling and arrangements, correspondence, employee events, and internal promotion of activities/events.
- Assist the Manager, Executive Communications & Community Engagement with approved donations and sponsorships.
- Respond to departmental inquiries in a timely and professional manner – phone, e-mail and/or written correspondence.
- Serve as an administrator and super-user of the philanthropy portal through daily monitoring and/or processing of requests, and when necessary, maintain contact with the vendor for upgrades, training and/or troubleshooting. Serve as a resource for employees using the system.
- Sort and respond to all donation requests (letter, e-mail, phone call) and maintain appropriate databases. Select, package, and send items.
- Coordinate Crayola product donations following corporate policies and procedures. Send tax paperwork and maintain appropriate databases.
- If available, use OSMI and other referred products to offset in-kind donations budget. Coordinate acquisition of OSMI and other referred product and coordinate as needed, with other departments. Maintain appropriate databases.
- Coordinate annual grant requests, coordinate communications with applicants, use the E-Pay system to create check requisitions, disperse checks and maintain appropriate database. Coordinate special funding programs.
- Create reports on an as needed basis utilizing databases and/or researching as needed. Provide analytical data to monitor donations, sponsorships, and volunteerism.
- Assist with the Corporate Volunteer Program by coordinating meetings, taking and dispersing minutes, and assist in the planning of the annual Volunteer Recognition Event. Assist in the maintenance of the database of employee volunteer hours through the philanthropy portal/system.
- Assist with the Crayola United Way Campaign including but not limited to meeting scheduling, employee communication & recruitment, fundraising and other duties as needed for the success of the campaign.
JOB SPECIFICATIONS:
- High School diploma
- Minimum of three years administrative experience
- Strong interpersonal skills are required to interface with the public, Crayola employees and retirees, and others.
- Strong PC skills: Windows, Word, Excel, Lotus Notes, E-Pay, other digital platforms for promotions/publicity internally.
- Excellent oral and written communication skills.
- Ability to handle multiple tasks in a timely, efficient manner and to manage projects independently from start to finish.
- Prioritize workload and analyze individual situations accordingly
- Utilize independent judgment tied to established procedures and practices when addressing issues related to requests for donations or volunteers.
- Knowledge of and ability to network with all Crayola departments
