At Vantage, we're passionate about building a cloud cost transparency platform that helps enable everyone – from developers to enterprises – analyze, report, collaborate on and optimize their cloud infrastructure costs. Both our CEO (who is a repeat founder) and CTO are passionate about cloud infrastructure. Having worked together at DigitalOcean, they are taking their combined knowledge to build and scale the Vantage platform. About the Role
We are seeking our first executive assistant to join our ~25 person team. As we’re a small team, this is a generalist role based in New York City and you’ll be assisting our executive team in scheduling and planning as well as responsible for helping with office management for our small, scrappy on-site team. We have our first devoted office in Manhattan and we’re looking for an enthusiastic, proactive person to come help build and mold our culture.
Adjectives that would describe you would include: positivity, kindness, professionalism and well-organized. In a given week you’ll likely do a mix of managing our executive team’s schedules (CEO and CTO), helping work with our current office designers to ensure everything is received and scheduled accordingly, help refresh some office supplies (kitchen supplies, snack, drinks – you’ll be the hero of the office for this) and receive any visitors and delivery people at the office.

What You Will Do:
- Manage multiple calendars meticulously and thoughtfully, coordinating all meetings and calls, including video conferencing and large team events
- Manage multiple requests – exercising sound judgment, and seeing beyond the day-to-day to anticipate changing needs while staying calm under pressure
- Schedule, plan, and execute quarterly offsites and team events
- Manage all travel logistics and associated expenses, and be ready to handle last-minute changes
- Collate and distribute correspondence, spreadsheets, slide decks, and meeting agendas
- Track action items and key issues to closure with a high degree of integrity and accountability
- Assist with special assignments/projects, as needed
- Assist with department communications drafts
- Collaborate on regular department All-Hands presentations
- Serve as the point person for office manager duties including: maintenance, mailing, supplies, equipment, bills, errands, shopping
- Organize office operations and procedures
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Provide general support to visitors
Who You Are
- A kind person with a positive attitude.
- Proven experience as an Office Manager, Front Office Manager or Executive/Administrative Assistant
- Knowledge of Office Administrator responsibilities, systems and procedures
- Proficiency in Google Workspaces (aka Google Suite/Gmail) and Zoom
- Familiarity with email and calendar scheduling tools
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
